Client summary report

Find an overview of your client retention rate through the client summary report which categorizes clients so you can analyze their appointment activity over different timeframes.

Using the client summary report

The data within the client summary report is based on client appointments scheduled within the selected timeframe. You can refine the data further using filters and grouping options.

Appointments that have been cancelled or marked as a no-show will not be included in the client summary report. 

Client types

  • New clients - Clients who had their first appointment during the chosen timeframe.
  • Returning clients - Clients who had their first appointment before the chosen timeframe.
  • Walk-in clients - Unidentified clients from walk-in appointments. As no client profile is attached to these appointments, the clients associated cannot be determined as new, returning, or rebooked and will be excluded from the Total clients metrics. Instead, the Walk-in clients and % walk-ins fields will reflect the number of walk-in appointments.
  • Rebooked clients - Clients that have an appointment scheduled after the chosen timeframe. The % rebooked metric can change for past appointments any time the client schedules more appointments.

NOTE: Clients with multiple appointments will only be recorded once. If their first appointment is within the selected timeframe, they will be counted as New clients.

Grouping options

You can narrow down the data using the Group by drop-down menu.

  • Location -The business location of the appointment.
  • Team Member - The team member who performed the service. Appointments with multiple services will include each team member who performed an included service.
  • Gender - The client’s gender as specified within their client profile.
  • Channel - The channel the appointment was booked through e.g. Book now link.
  • Timeframe - You can select various timeframes (day, week, month, quarter, year) which will be subject to the date range set under the calendar drop-down menu. You can also check scheduled appointments using a future date range.

NOTE: By default, clients are categorized into new, returning and rebooking at the overall business level. Grouping by Location or Team member will add additional columns to help you understand retention at a location or team-member-specific level. In these cases, a single client can have multiple first appointments - one per location or team member.

Filter options

Using the filters drop-down menu to apply a secondary set of preferences to segment the data further.

  • Client gender - The client’s gender as specified within their client profile.
  • Location - The business location of the appointment.
  • Channel - The channel the appointment was booked through e.g. Book now link.

Understanding the client summary data fields

Depending on the filters and groupings applied, a selection of the below fields will become available for you to analyze and compare.

  • Total clients - All clients with appointments in the selected timeframe, excluding walk-ins.
  • New clients - Clients with a first appointment during the selected timeframe.
  • New clients with team member - Clients with a first appointment with the specified team member, during the selected timeframe.
  • New client at location - Clients with a first appointment at the specified location during the selected timeframe.
  • % new - The percentage of total clients classed as new.
  • Returning clients - Clients with a first appointment before the selected timeframe.
  • Returning clients with team member - Clients with a first appointment with the specified team member, before the selected timeframe.
  • Returning clients at location - Clients with a first appointment at the specified location, before the selected timeframe.
  • % returning clients - The percentage of total clients classed as returning.
  • Walk-in clients - Appointments with unidentifiable clients.
  • % walk-ins - The percentage of walk-in clients to total and walk-in clients
  • Rebooked - Clients with an appointment scheduled after the selected timeframe.
  • Rebooked clients at with team member - Clients with an appointment scheduled with the specific team member, after the selected timeframe.
  • Rebooked client at location - Clients with an appointment scheduled at the specified location, after the selected timeframe.
  • % rebooked - The percentage of total clients classed as rebooked.
