Add and update scheduled shifts

Discover effective ways to optimize and adjust your team's shifts using advanced staff scheduling features.

Getting started

Before you can set up scheduled shifts, start by adding all of your team members and ensuring they’re assigned to the correct location. 

Adding team scheduled shifts

To add team scheduled shifts: 

  1. Head to Scheduled shifts under Team.
  2. If you have multiple locations, select the relevant one using the drop-down.
  3. Click on the pencil icon next to the team member’s name and select Set regular shift. If you’re using the Fresha app or a mobile device, use the drop-down arrows to access and edit the shifts.
  4. Under Schedule type, choose how regularly you want the shift pattern to repeat (every 2, 3, or 4 weeks).
  5. Set the start and end date for these shifts. You can choose to end these on a Specific date or select Never for an ongoing schedule.
  6. Tick the days of the week and adjust the Shift start and Shift end hours.
  7. Select Add a shift to create built-in breaks, like a 1-hour lunch break.
  8. Click Save to finalize the changes.

NOTE: You can add up to 10 shifts per day for each team member.

Managing team scheduled shifts

If a member of the team is unavailable on a particular day or you need to change their regular shifts, you'll need to update the team's scheduled shifts to ensure you do not receive online bookings on these days.

To edit team scheduled shifts:

  1. Head to Schedule shifts under Team.
  2. Use the drop-down menus to select the relevant location and date. 
  3. To edit a specific shift or day for a team member, click on the shift you want to edit and select Edit this day. Make the relevant changes and select Add a shift to create built-in breaks. Click Save
  4. To edit the team member’s regular schedule, click on the pencil icon next to the team member and select Set regular shifts. Make the required changes to each shift and click Save

To delete team scheduled shifts:

  1. Head to Schedule shifts under Team.
  2. Use the drop-down menus to select the relevant location and date. 
  3. Click on the shift you want to delete next to the team member and select Delete this shift.

TOP TIP:  If you’re using Fresha on a desktop, you can delete all scheduled shifts for a team member by clicking the pencil icon next to their name and selecting Delete all shifts. This option is not available on the Fresha app or mobile device.

Q: What are recurring scheduled shifts?

Recurring scheduled shifts allows setting up shifts that repeat regularly, simplifying the scheduling process.


Q: How do I know my changes were saved properly?

A confirmation message will pop up, indicating successful changes to the scheduled shifts.


Q: Can I bulk-edit shifts for multiple employees?

Currently, this feature is not available, but it might be considered in the future.


Q: Are business operating hours linked to team members scheduled shifts?

No, they are separate. scheduled shifts indicate when team members are available for bookings, independent of business operating hours.
