Managing team members’ timesheets

Take control of your workday and accurately log your worked hours. Learn how to clock in and out of shifts, manage your breaks and access your timesheets.

Getting started

Only workspaces with the  Team Pay add-on activated will have access to manage timesheets. As a team member, we recommend:

  • Reaching out to the workspace owner to activate the Team Pay add-on and enable the clock in clock out feature, if it’s not aready available.
  • Enable timesheet notifications for the Fresha for business app on your mobile phone

Clocking in and out of shifts

Once timesheets have been enabled for your workspace you can start clocking in/out of shifts through your personal Fresha account.

Clocking in/out with timesheet automation:

Having timesheet automations for clocking in/out means that you’ll be automatically clocked in and out of scheduled shifts without needing to take any action. You will still have the flexibility to clock in or out early.

To clock in or out of shifts early:

  1. Open the workspace Calendar.
  2. Tap on the notification banner for your scheduled shift start, or tap on your account avatar icon.
  3. From the timecard select Clock in to begin your shift.
  4. End the shift by tapping on the banner or your account avatar and selecting Clock out from your timecard.

Clocking in/out without timesheets automation:

If timesheet automations are not enabled, you’ll need to actively clock in and out of your shifts. The Fresha app will notify you with a 10-minute countdown before your shift starts or ends.

To clock in/out of shifts:

  1. Open the Fresha app. 
  2. Tap the shift start notification for your scheduled shift start. Alternatively, you can click on your account avatar.
  3. From the timecard, select Clock in to begin your shift.
  4. If location restrictions are activated, you need to be within 50m of the map location for the business to clock in and out of shifts. For your initial clock in, Fresha will ask for access to your device's location. 
  5. A shift timer will display the duration of your shift to help you keep track.
  6. At the end of your shift, tap the shift-end notification or tap on your account avatar and select Clock out from your timecard.

Starting and ending breaks

As a team member, you can manage scheduled and unscheduled breaks through timecards on your personal Fresha accounts. 

If the workspace has scheduled break automation enabled, your breaks will automatically stand and end according to your shift schedule. You can choose to start or end your break early by selecting Start now or End now from your timecard (accessible from the banner or your account avatar). 

To start/end scheduled breaks as a team member:

Where scheduled break automation are not enabled for your workspace, you'll receive a notification from the Fresha app with a 10-minute countdown before your scheduled break starts or ends. 

To start/end breaks where break automations are not enabled:

  1. Open the Fresha app. 
  2. Tap the break-start notification or tap on your account avatar.
  3. From the timecard, select Start break to begin your break.
  4. If location restrictions are activated, you need to be within 50m of the map location of the business to start and end breaks.
  5. A timer will display the duration of your break to help you keep track.
  6. At the end of your break, tap the break-end notification or tap on your account avatar and select End now from your timecard.

To start/end unscheduled breaks as a team member:

All team members have the option to take unscheduled breaks.

  1. Open the Fresha app.
  2. Tap on your avatar icon and click Start break.
  3. Select the break type.
  4. If location restrictions are activated, you must be within 50m of the map location for the business to start and end breaks.
  5. The break will last for the duration of the set break type and can be ended at any time by selecting End break on your timecard.

Accessing your timesheets

To access or edit timesheets, you’ll need to have permission from the workspace owner to “Manage timesheets”.

View and edit your timesheet

  1. Open the Fresha app. 
  2. Tap on your Avatar icon to view your Timesheets.
  3. Use the filter option to sort by workspaces, status, or date.
  4. Select the timesheet you want to edit.
  5. Tap the three dots next to checkout and select Edit.
  6. You can now edit the clock-in and clock-out times and add breaks.
  7. Click Save.

Delete your timesheet

  1. Open the Fresha app. 
  2. Tap on your Avatar icon to view your Timesheets.
  3. Use the filter option to sort by workspaces, status, or date.
  4. Select the timesheet you want to delete.
  5. Tap the three dots next to checkout and select Delete timesheet.
  6. Tap Delete again to reconfirm. 

FAQs

Q. What happens if I am late clocking into my shift?
If you're late clocking into your shift, a banner will appear on your calendar and timecard, displaying a live counter that shows the time elapsed since your scheduled shift start time. This information will be logged on your timesheet.


Q. Will Fresha track or store my location when I am not using timesheets?
No, we only access location data when you initiate actions on your timesheet, such as clocking in or out, or starting or stopping breaks. This information is solely used to verify if you're within a 50m radius of the business's map location address for accurate time tracking.


Q. Can I clock out while on a break?
No, you will need to end your break before you can clock out of your shift.


Q. How do I give Fresha permission to access my device location?
Allowing Fresha to access your location for proximity controls can vary depending on the device you're using. To allow Fresha location access:

For iPhone:

  1. Open the Fresha app and tap on your avatar icon in the top right corner.
  2. On your scheduled shift, tap Clock in.
  3. A notification will appear asking you to Allow Fresha to use your location.
  4. Select Allow Once or Allow While Using App, depending on your preference.

For Android:

  1. Open the Fresha app and tap on your avatar icon in the top right corner.
  2. On your scheduled shift, tap Clock in.
  3. A notification will appear letting you know that Your location is disabled.
  4. Select Tap to enable and click Okay.

For desktop:

  1. Click on your avatar icon in the top right corner.
  2. On your scheduled shift, click Clock in.
  3. An on-screen notification will appear advising that your location is required for this action.
  4. Click Continue to allow location access on the device.
