Create recurring appointments

Set up a series of recurring appointments to easily manage regular clients and ensure their services are always booked at their preferred times with their favourite team members.

Getting started

Before you can create or manage recurring appointments, ensure you have access permissions enabled if you’re a team member. 

Creating recurring appointments

To create a series of recurring appointments: 

  1. Open your Calendar.
  2. Create a new appointment or select an existing one you wish to make recurring.
  3. Within the appointment view, select Doesn’t repeat below the date. 
  4. Under Frequency, use the drop-down menu to select how often you’d like the appointment to repeat.
  5. Under Ends, use the drop-down menu to specify how many recurring appointments you’d like to schedule. You can also choose a Specific date or select Never for ongoing appointments.
  6. Click Apply changes and then Save from the appointment view

NOTE: Recurring appointments are marked with a repeating icon on your calendar and are automatically scheduled up to 12 months in advance.

Rescheduling recurring appointments

To reschedule recurring appointments: 

  1. Open your Calendar.
  2. Select the recurring appointment you want to reschedule.
  3. Within the appointment view, click on the date or the three dots and select Reschedule to change the appointment date. To change the appointment start time, click on the time underneath the appointment date.
  4. Select a new timeslot in your calendar.
  5. Choose to Update this appointment only or Update all upcoming appointments, depending on your client's preference.
  6. Mark the checkbox to send a message informing the client that their appointment has been scheduled. 
  7. Click Update to reschedule. 

TOP TIP: You can also reschedule by dragging the appointment to a new date or time, affecting only that particular appointment. 

Changing recurring appointment details

You can edit the appointment details for a single appointment or all the appointments in the recurring series. To edit appointment details:

  1. Open your Calendar and select the recurring appointment you want to change.
  2. Make any necessary changes to the appointment, including client selection, date, or service details
  3. Click Save.
  4. Choose to Update this appointment only or Update all upcoming appointments.
  5. Click Update to apply the changes.

Canceling a recurring appointment

There are two ways you can cancel recurring appointments. 

Cancel through actions

  1. Go to your Calendar and select the appointment you want to cancel.
  2. Click on the three dots and select Cancel.
  3. Choose a Cancellation reason from the drop-down menu.
  4. To cancel all upcoming appointments, mark the relevant checkbox.
  5. Click Cancel appointment.

Cancel through the  appointment status

  1. In your Calendar, select the appointment to cancel.
  2. Click on the current appointment status to update it to Cancel.
  3. Select a Cancellation reason from the drop-down.
  4. For canceling all upcoming appointments, mark the relevant checkbox.
  5. Click Cancel appointment.
