Create and manage resources

Enhance your appointment scheduling with bookable resources, like rooms or equipment, that can be assigned to services. Learn everything about resource management from creating one to allocating services and viewing availability.

Getting started 

Before setting up your resources, take these steps to avoid double bookings and make allocating easier:

  • Create all of your services for a complete service menu.
  • As a team member, request permission to access business settings and the services menu. 

Creating resources

Add rooms, booths, equipment and more as resources for booking availability.

To add bookable resources:

  1. Open Workspace settings, select Scheduling then Resources.
  2. Click Add and enter the name and description of the resource. For example, "Massage Room".
  3. Use the dropdown to select the location the resource belongs to. 
  4. Click Add.

NOTE: Resources cannot be shared across locations. If you have multiple locations, each one will need its own resources.

TOP TIP: You can also create resources when creating a new service directly from your Services menu.

Managing resources

Once you've added your resources, you can manage and assign them to services.

Allocate resources to services

Allocating resources to services allows them to be automatically assigned to the relevant appointment, preventing double bookings. 

To allocate a resource to services:

  1. Open the Catalog and select Service menu.
  2. Click on the service you want to allocate resources to and select Edit.
  3. Select Resources from the menu.
  4. Use the toggle to enable Resources required
  5. Check the box next to each resource you want to allocate to the service.
  6. Click Save.

NOTE: When an appointment is booked, the services will be automatically allocated an available resource based on the order they're listed under your Resource settings. Online, each service will have only one resource assigned.

Edit resources

Resource details can be easily updated at any time. 

To edit a resource:

  1. Open Workspace settings, select Scheduling then Resources.
  2. On the relevant resource, click Actions and select Edit.
  3. Change the resource details as needed. 
  4. Click Save.

Delete resources

Before deleting a resource, we recommend updating the services they allocated to make sure no appointments are affected by this change. 

To delete a resource:

  1. Open Workspace settings, select Scheduling then Resources.
  2. On the relevant resource, click Actions and select Delete.
  3. Select Delete to reconfirm you want to proceed. 

Once a resource is deleted, it will be removed from any service allocations.

Viewing resources

You can check availability and get a view of upcoming appointments for all or a specific resource through your calendar.

To view a resource schedule on your calendar:

  1. Open the Calendar.
  2. Use the calendar filter to view All resources or the specific resource you want to check.
  3. Click on the date filter to narrow your view where needed.
  4. You can check the availability of your resources and make sure nothing has been double-booked.

NOTE: Clients booking online will never be able to double book a resource.

FAQs

Q. Is it possible to view the calendar for a resource by week?
Yes, individual resource calendars can be viewed by Day, 3 Days, or Week. However, when viewing all resources, only the Day view is available.


Q. How can I make sure a resource is not overbooked?
Clients won't be able to double-book a resource online if it's assigned to a service before the appointment is made. However, you can override this restriction and double-book a resource in-store. A notification will appear, allowing you to decide whether to proceed with the double booking.


Q. I work across different floors, can I use the same resource across multiple locations?
No, resources cannot be shared across locations. Each location will have its dedicated resources to prevent double booking the resources.
