Send appointment reminders

Reduce no-shows and improve punctuality by sending reminder messages for their upcoming appointments. Learn how to create and manage automated appointment reminders to keep clients informed.

Getting started

Sending clients appointment reminders can help keep clients engaged and informed about their upcoming appointments. To get the most out of appointment reminders, follow these steps:

NOTE: We've merged automated messages and auto campaigns into new messaging Automations. While your email auto campaigns will smoothly transition, you'll need to enable any existing text message auto campaigns manually.

Creating appointment reminders

You can create up to three appointment reminders to automatically send to clients based on how much notice you want to give them and their notification preferences saved in their profiles. To create appointment reminders: 

  1. Open Marketing and click on messaging  Automations.
  2. Under Reminders, click on Create new
  3. Use the drop-down menu to set a Reminder advance notice to determine how far in advance the reminders should be sent, then click Next step.

  4. Use the toggle next to the Email and Text to enable reminders to be sent from these channels:

    Text message:
    Allow the messages to be sent via text at a fee which will be outlined and deducted from your text message allowance. Select Preview to see what your message will look like.

    Email:
    Allow the messages to be sent via email for free. Select Preview or Edit content to make changes and send yourself a test email.

  5. Click Save to enable appointment reminders.

NOTE: Clients can manage their appointments or get directions directly from the reminder.

TOP TIP: Try using the edit option for email reminders to include personalized messages or special instructions, enhancing client engagement.

Updating appointment reminders

To change automated appointment reminders:

  1. Open Marketing and click on messaging Automations.
  2. Under Reminders, click on the three dots next to the appointment reminder. 
  3. Select Edit, make the relevant changes, and Save.

Disabling appointment reminders

To switch off automated appointment reminders:

  1. Open Marketing and click on messaging Automations.
  2. Under Reminders, click on the three dots next to the appointment reminder. 
  3. Select Remove and Remove again to reconfirm your choice.

Yes, during the setup process, you can preview and edit the content of email reminders to add a personal touch


Q. Is there a limit to how many reminders I can send per appointment?
To ensure reminders don’t overwhelm clients, you can send up to three reminders for each appointment.


Q. What happens if a client changes their notification preferences?
Changes in a client’s notification preferences will automatically apply to how the reminders are sent, adhering to their most recent settings.
