Deleting and editing past appointments.

I am a new user and my biggest issue is my staff put in an incorrect appointment. I cannot edit or delete this except if corrected that day. If a later date I have to void invoice and create a No Show. Makes my No Show list and my daily sales figures useless as these are corrected the following day.  These adjustments are brought forward to the current date. If this was added we should have a date option so the system knows the transaction date (the system is no doubt already recording this) and this privilege should be limited to those with Administrator access to avoid staff deleting and pocketing cash if a cash deal. Just to avoid temptation :-)

  • Yes! This function is a absolute necessity for Administrator access to overwrite any previous errors that have been reported, while retaining the integrity of the invoices. As we rely on the reports generated by date to track all card/cash payments, not being able to overwrite a date to edit accurate sales figure will cause sales reports generated from Fresha to be inaccurate, thus creating more work for us. I hope that this function would be set up soon so that we can start reconciling our records more accurately.

  • I need this too! Sometimes if we are busy we help each other out by doing each other's clients (for example) and it is hard to make changes retrospectively to reflect exactly what happened.

  • I would think we should be able to have our employees daily sales & invoicing to be pooled under each individuals name. I personally think this is a major fault & issue that need to be rectified. It would be much easier to see if they made a mistake or wrong service, even to tally up there own sales & make sure it all events out. The owners has to go through the invoice at the end of day or week. This way is so time consuming and not efficient.

  • Hi everyone,

Thanks for the suggestions and votes.

Fresha's invoices are tracked in real-time so invoices (sales) are tracked based when the invoice is raised. For this reason, we recommend all appointments are checked out as soon as the appointment has been completed so your payouts and reporting are as accurate as possible.

There's no way to backdate or edit an invoice once it's been raised. You can void it and put it through again but the sale will be tracked on the day raised and not the day the service was actually completed.

This was a necessary requirement for us to bring out our most requested features with payment processing. Once a sale goes through the payment log timestamps it. If it's wrong, you can refund it or void it and put it through once more with the correct payment type. This is also why invoices that are made void are tracked for you so that you can have a clear history of every transaction.

Kimberly Friedman, please reach out to us directly as the owner of the account can already view all invoices by staff member through the payment log within the analytics section. If you do not have access to the analytics section then you will need to discuss this with the owner of the account.

Phil Townend, I can appreciate that times can get busy and mistakes can get made but for security purposes and based on our partner's needs, these dates and timestamps must reflect when the action was taken so that is not left open to abuse.

I hope this helps, please reach out to us at hello@fresha.com when discussing account specifics.

  • I believe the original request was (for Admins only) to be able to cancel appointments made prior to the current day/date.  Can you respond to this request?

  • Theresa Redgewell,

Permissions settings allow you to set who can cancel appointments or void invoices. Appointments can be canceled up to the date of the appointment after which you will need to mark them as a no-show. There are no plans to change this process.
