How do I add notes to client profiles and bookings?

Stay on the ball by keeping track of your client’s preferences and any valuable information with notes. Add and refer to these across essential touch points such as your Clients, Appointments and Sales.

Add notes to Clients 

There are two types of notes that can be added to client profiles; client Activity notes and Important client info notes.

Add client Activity notes 

These can be added to the client Activity log at any time via the client profile and help you easily identify key information. 

  1. Go to Clients and select Client list
  2. Use the search bar to find the client you wish to add notes to. 
  3. Click on the client and select Activity.
  4. Use the filter in the top right-hand corner to select Notes
  5. Click Add note or a file… in the box at the top of the client profile. 
  6. Enter your note and where needed, click on the paperclip icon to add attachments, including images. 
  7. Click Add note to save your note.
  8. Depending on your permission level, you can edit or delete a note by clicking the three dots beside it and selecting either Edit or Delete.

Important client info notes

These can be added to the client profile and will usually include important information that’ll apply to most of their appointments. e.g. allergies, formulas, and certain conditions.

  1. Go to Clients and select Client list
  2. Use the search bar to find the client you wish to add notes to. 
  3. Click the three dots and select Edit details.
  4. Scroll down to Important client info.  
  5. Under Client info, enter your note in the box. 
  6. To have this note appear on all appointments, check the box blue_tick.png that says Display on all bookings
  7. Click Save. 

PRO TIP: You can export all Client notes by heading to Clients, clicking on the Options tab, and selecting Download Excel/CSV to export your list. Your exported list will show your client names, contact details, and client notes for your entire customer list.


Add notes to Appointments

These can be added directly through the Appointment and are specific to that particular appointment only e.g. special request, progress or formulas used that day. 

  1. Go to your Calendar
  2. Add a new appointment or click on the existing one where you wish to add a note. 
  3. Click on the Notes tab.
  4. Click on Add a note
  5. In the pop-up input box, add your notes about the appointment. 
  6. Click Save.

You can also edit and add to Appointment notes:

  1. Click the three dots three_dots.png next to the note. 
  2. Select Edit appointment notes
  3. Make your edits or add more information in the pop-up input box.
  4. Click Save.

NOTE: If the client booked online, their booking notes will be shown within the notes tab too.

PRO TIP: When you hover over or click on the appointment, the booking notes will be visible under the Appointment details.


Add notes to Sales

These are added directly to the Sale's Activity and are for notes relating to the sale e.g. Client will be split paying this appointment. 

  1. Go to Sales
  2. Click on the reference (under Sale #) to open the sale.
  3. Click on Activity
  4. Click Add note… in the box at the top of the client profile. 
  5. Enter your note and click Add note to save. 

Depending on your permission level, you can edit or delete a note by clicking the three dots beside it and selecting either Edit or Delete.
